Assistant Hire Controller

The Role:
Join our dynamic Operations Team at Scantech Middle East, where you’ll play a key role in supporting our growing regional and global projects.
Based in the Kingdom of Saudi Arabia, you’ll be responsible for managing equipment rental, personnel charges, and sales orders using IFS and related systems. Your work will directly support projects across the Middle East, with the flexibility to assist on global initiatives when required.

What you’ll be doing:
- Coordinate with ops manager on equipment availability and assign to the project on IFS.
- Assist in the management of the rental trigger points for equipment and personnel from the contract.
- Ensure the initial PO matches the terms and conditions of the contract and request revisions if needed.
- Assist in updating ongoing rentals to mirror shipping, operational, standby periods and off-hires.
- Prepare and send out equipment timesheets and so the hire controller can ensure IFS matches the signed timesheets.
- Follow up on personnel timesheets with the operations team.
- Assist in following up for PO’s from the clients.
- Assist the hire controller in raising the preliminary invoices prior to the monthly invoice meetings.
- Attend regional monthly invoice meetings.
- Assist in preparing all relevant back-up documentation to be submitted to the invoicing team for accurate submission at months end.
- Assist the operations team when required and vacation cover.
What we’re looking for:
- Excellent written and verbal communication skills in English.
- Proficiency in Microsoft Office applications such as Excel, Outlook and Word.
- Basic accountancy or bookkeeping.
- Excellent communication and interpersonal skills.
- Strong problem-solving skills and attention to detail.
- KSA driving license with own car.
- Ability to work effectively with cross-functional teams.
- Knowledge of health, safety, and environmental regulations.
- Positive attitude, team player, and ability to work under own initiative.
